For an aircraft operator, maintenance and parts sourcing is where airworthiness, dispatch reliability and cost all collide. In India in particular, the combination of regulatory requirements, import logistics and a still-maturing MRO ecosystem means that getting this right is a competitive advantage — and getting it wrong can ground an aircraft for weeks. Here is a practical orientation for operators.
The regulatory framework
Continuing airworthiness in India is governed by DGCA's CAR-M framework, with maintenance carried out by approved organisations. In practice an operator works with a CAMO (Continuing Airworthiness Management Organisation) that manages the maintenance programme, airworthiness directives and records, and an approved AMO (Aircraft Maintenance Organisation) that performs and releases the work to Part-145-equivalent standards. Understand the split clearly: the CAMO owns the airworthiness picture over time, the AMO executes specific tasks. Confirm your providers' approval scope covers your exact aircraft type before you rely on them.
Parts traceability is non-negotiable
Every part installed on the aircraft must carry full traceability back to an approved source, evidenced by the correct release documentation — an EASA Form 1 or an FAA 8130-3, depending on origin. This is not paperwork for its own sake. A part without proper documentation cannot be legally installed, and "as-removed" or undocumented components — however genuine they look — can ground your aircraft indefinitely while you try to establish provenance. Counterfeit and grey-market parts are a real and dangerous problem in aviation; the documentation chain is your defence against them. Buy only from sources that provide the release paperwork up front.
Plan around import lead times
Much of the world's aircraft parts inventory sits outside India, so import logistics — customs clearance, duty, GST and shipping — add days or weeks to an AOG (aircraft-on-ground) event that a US or European operator would resolve overnight. The mitigation is to hold a sensible on-site inventory of the items most likely to stop a flight, and to establish relationships with distributors who can expedite. The cost of carrying a few critical spares is trivial against the cost of a grounded aircraft and cancelled charters.
Critical components to keep in stock
- Landing-gear tyres and brake assemblies
- Aircraft batteries (plan replacement on a fixed interval, typically every two years)
- Pitot tubes and static ports — easily damaged, flight-critical
- Spark plugs and ignition leads (for piston aircraft)
- Filter elements — oil, fuel and hydraulic
- Common seals, O-rings and consumables used at scheduled inspections
Choosing an MRO partner
Plan inventory around lead time, not around price
The costly variable in parts sourcing is rarely the unit price; it is the time the aircraft spends waiting. An aircraft on ground consumes fixed cost, cancels revenue and damages client confidence, and the premium paid to expedite a part usually dwarfs any saving negotiated on it. The practical response is to classify consumption: items used predictably should be stocked, items that are expensive and rarely needed should be sourced through a supplier relationship agreed in advance, and the boundary between the two should be reviewed against actual usage rather than assumption.
Traceability is not negotiable
Every part fitted to an aircraft must be accompanied by documentation establishing what it is, where it came from and that it is airworthy. Certification and traceability paperwork must match the physical part exactly, and any gap makes the part unusable regardless of its condition. This is the mechanism that keeps unapproved parts out of the fleet, and it is also where pressure to return an aircraft to service creates the greatest risk. Verify documentation before the part is needed urgently, not while an aircraft is grounded.
Build supplier relationships before you need them
Operators who source reactively pay the most and wait the longest. Establishing accounts, terms, and agreed turnaround expectations with a small number of reputable suppliers and repair stations — before an urgent requirement arises — changes both the price and the response time. It also gives you a known counterparty when something genuinely time-critical happens.
Understand the import and logistics path
For Indian operators, most components arrive from abroad, and the logistics and customs path is part of the lead time. Knowing in advance how a shipment will clear, what documentation is required, and which freight route is realistic prevents a part sitting at a port while an aircraft sits in a hangar. Consolidating predictable orders rather than shipping items individually reduces both cost and administrative friction.
Exchange, loan and repair options
Not every requirement means buying new. Serviceable exchange units, loan pools and repair of the existing component are often faster, cheaper, or both, particularly for rotables. Knowing which of your components have viable exchange markets, and who operates them, is worth establishing while the fleet is healthy.
Choosing an MRO
Selecting a maintenance organisation is a longer-term decision than a single work package. The considerations are approval scope for your types and the work you need, demonstrated turnaround performance, capacity at the times of year you require it, quality of documentation returned to you, and proximity, since ferrying to and from maintenance is real cost and downtime. Ask for references from operators of similar size and mission, and speak to them directly.
Measure what happens
Recording lead times achieved, prices paid, and the quality of paperwork returned turns supplier management from anecdote into evidence. Over a year it shows which relationships are actually performing, supports renegotiation, and — most usefully — reveals which recurring delays are structural and can be designed out.
Beyond approval scope, weigh proximity to your home base (every ferry flight for maintenance is a cost), the depth of the provider's experience on your specific make and model, turnaround-time track record, and their parts-sourcing network. A slightly more expensive MRO that keeps your aircraft dispatching reliably is almost always cheaper than a bargain provider that leaves it grounded waiting for parts. For a commercial operator, dispatch reliability is revenue — treat maintenance strategy as a revenue decision, not just a cost centre.
